Theoria's Executive Department is seeking individuals to join its team to provide assistance and support in daily activities. Theoria Medical is looking for a top-tier, no-nonsense Executive Assistant (EA) to support our executive leadership team. This is not your typical assistant role—we need a strategic thinker, a problem solver, and an operator who gets things done. You will be the right hand to leadership, managing high-stakes priorities, ensuring flawless execution, and keeping executives focused on driving the business forward.

    Essential Functions & ResponsibilitiesAdministrative & Executive Support
  • Manage and coordinate complex calendars, scheduling meetings, travel, and appointments while anticipating conflicts.
  • Prepare and organize executive meetings, including agendas, materials, minutes, and follow-ups.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Draft, proofread, and edit emails, presentations, reports, and internal communications on behalf of executives.
  • Maintain organization of digital files, contracts, and key business documents.
  • Project & Operations Coordination
  • Track executive priorities and ensure key deadlines and initiatives stay on schedule.
  • Assist in managing projects across departments by following up on action items and deliverables.
  • Conduct research and summarize findings to support executive decision-making.
  • Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
    Requirements and Qualifications
  • Experience: 8+ years supporting C-level executives, ideally in a high-growth, fast-paced environment.
  • Education: Bachelor's degree preferred, but track record matters more than credentials.
  • Tech-Savvy: Must master Microsoft Office, Google Workspace, and productivity tools (Monday, Slack).
  • Insane Attention to Detail: The executive should never have to double-check your work.
  • Unshakable Composure: High-pressure situations? You thrive in them.
  • Proactive & Strategic: You don't wait for instructions—you see what needs to be done and execute.
  • Airtight Discretion: You will handle highly sensitive information—zero leaks, zero drama.
  • Work Ethic of a Beast: This is a 24/7 mentality—not a 9-to-5 job.
    Physical Requirements
  • Must be punctual or on time and adhere to the company's Time and Attendance policy.
  • Must be able to remain sitting for the majority of their shift.
    Shift Structure
  • Monday-Friday 8am-5pm EST
    Compensation and Benefits
  • Up to $90,000
  • 15 Days PTO, and 7 Paid Holiday
