Virtual Assistant for Lively Properties (Airbnb Management) - Contract to Hire

Job Description:

Lively Properties is seeking a highly organised and proactive Virtual Assistant (VA) to join our dynamic team. As a VA for Lively Properties, you will play a crucial role in ensuring smooth operations, supporting guest communications, and managing various administrative tasks. Our ideal candidate is detail-oriented, has excellent communication skills, and is experienced in the... short-term rental or hospitality industry.

Responsibilities:

Guest Communication: Manage and respond to guest inquiries promptly and professionally via email, and messaging platforms. Provide accurate information and assist with booking confirmations, check-in/check-out processes, and other guest-related needs.

Maintenance Coordination: Coordinate maintenance requests and tasks with our operations team, cleaners, and contractors using our maintenance software, Breezeway. Ensure timely and efficient resolution of any property issues.

Booking Management: Assist in managing reservations across various platforms, including Guesty and Airbnb. Update property listings, manage calendar availability, and process guest payments.

Administrative Support: Handle general administrative tasks such as data entry, document management, and email correspondence. Assist with owner statements, financial summaries, and other reporting tasks.

Team Collaboration: Work closely with property managers, cleaners, and other team members to ensure seamless operations and high guest satisfaction.

Task Management: Maintain a daily task list and ensure all tasks are completed promptly. Update the team on task progress and any issues that may arise.

Requirements:

  • Proven experience as a Virtual Assistant or in a similar role, preferably in the short-term rental or hospitality industry.
  • Proficiency in using property management systems like Guesty and maintenance software like Breezeway.
  • Strong organizational skills with the ability to multitask and manage time effectively.
  • Excellent written and verbal communication skills in English.

Familiarity with social media platforms and basic marketing principles.

  • Ability to work independently and proactively solve problems.

High attention to detail and a commitment to providing exceptional service.

  • Availability to work in the time zone of Victoria, Australia, and flexibility to adapt to varying hours as needed.

Preferred Qualifications:

  • Experience with Airbnb or other short-term rental platforms.
  • Knowledge of the local area (Victoria, Australia) and its attractions.
  • Basic graphic design skills for creating marketing materials.
